AI automation for accounting firms. The accountant approves every entry.
In short
Aurelith designs and builds AI automations for accounting firms in Greece. The AI collects and reads client documents, spots what is missing, prepares proposed entries and draft replies, then stops so the accountant approves every entry and every message before anything is posted or sent. It is part of Level 02, Custom AI Solutions.

Where does an accounting firm lose its time?
In an accounting firm, time is rarely lost on accounting judgement. It is lost on the collecting, copying and chasing around it.
- 01
Documents from everywhere
Invoices and receipts arrive by email, as photos, in folders or on paper, often just before a deadline.
- 02
Reminders, one client at a time
Every month someone checks which clients have not sent their documents and writes to each one separately.
- 03
Retyping from the document
Tax numbers, dates, amounts and VAT are often copied by hand into the accounting software, then checked again.
- 04
Gaps found too late
A document without a tax number or with a missing page is often spotted just when time is shortest.
- 05
An inbox that never empties
Client questions and requests for certificates are read in the order they arrived, not the order that matters.
- 06
Deadlines in spreadsheets
Which client needs what, and by when, lives in spreadsheets and in people’s memory.
What can an accounting firm automate with AI?
This is what AI for accountants looks like in practice: six workflows common in accounting firms. In each one the AI does the groundwork and the accountant keeps the decision.
- 01
Collecting and chasing client documents
AI doesTracks what each client has sent, spots what is missing and drafts the reminder.
Person approvesThe wording and the recipients, before it is sent.
- 02
From invoice to proposed entry
AI doesReads invoices and receipts, extracts the tax number, date, amounts and VAT, and prepares the entry with the document alongside.
Person approvesEvery entry, before it is posted.
- 03
Client email triage with drafted replies
AI doesSorts email by client and priority, finds the history and drafts a reply.
Person approvesEach reply, before it leaves the firm.
- 04
Deadline reminders
AI doesChecks deadlines against what has already arrived and flags early which clients are at risk of running late.
Person approvesThe priorities, and every notice to a client.
- 05
A brief before each client meeting
AI doesBrings open items, recent correspondence and the client’s key details together in a short summary.
Person approvesWhatever from the summary reaches the client.
- 06
Checking documents for missing fields
AI doesChecks each document for missing or conflicting details and prepares a correction request to the client.
Person approvesWhich documents go back, and with what message.
Who decides while the AI works?
Aurelith builds every automation approval-first, with four controls on what the AI does and when the accountant steps in.
An automation design in which AI prepares and moves the work, and a person approves every decision that matters before anything irreversible happens.
Scope grows only after it is proven
For an accounting firm, that means no entry is posted and no message reaches a client without a person’s approval. Judgement and responsibility stay with the accountant.
- 01
Permissions
The automation sees only the folders, inboxes and systems you approve.
- 02
Approval points
Every entry, every message to a client and anything irreversible waits for the accountant’s approval.
- 03
Records
For every document, you can see what the automation read, what it proposed and who approved it.
- 04
Escalation
An unreadable or unusual document goes to the responsible accountant, instead of being guessed by the AI.

Which systems does it connect to?
Aurelith connects the automation to the tools your firm already works in. Exactly which ones, and how, is scoped in the written proposal, where the systems allow it.
-
Email
Reads client messages and attachments. Sends only what has been approved.
-
Documents and folders
Reads documents where you already collect them, digital or scanned.
-
Accounting software or ERP
Writes back only what the accountant has approved, where the software allows it.
-
Calendars and spreadsheets
Reads the deadlines and open items you already keep.
Where do you start? With one workflow.

Can the AI post entries without an accountant?
Not in the way Aurelith designs its automations. The AI prepares a proposed entry with the document alongside. The accountant checks it, corrects it or rejects it, and only then is it posted.
Does the automation replace the firm’s accounting software?
No. The automation works alongside your accounting software, your email and your folders: it reads from them and prepares the work. Whether it writes directly into your software depends on what that software allows, and is scoped in the written proposal.
Can it read documents that arrive as photos or scans?
An automation can be designed to read images and scanned documents too, but the quality of the file matters. What cannot be read with confidence is not guessed: the automation flags it and passes it to the responsible accountant.
Do our clients have to change how they send documents?
Not necessarily. Aurelith designs the automation around the channels your clients already use, such as email or a shared folder. If a channel causes problems again and again, the analysis will point it out.
Which workflow should an accounting firm start with?
With one workflow that recurs every month and has a clear owner, such as collecting client documents or reading invoices. Aurelith recommends getting that one working in real conditions first, and widening the scope only once it has proved itself.
